Job description

Chartrand Ford Laval is looking for an Assistant to the Service Advisors.

Reporting to the Service Manager, the Assistant to the Service Advisors serves as a key point of contact for customers and supports the Service Advisor team in their daily activities. The person in this role plays an essential part in coordinating appointments, following up on customer files, and managing courtesy vehicles.

Key responsibilities:

- Welcome customers to the service department and respond to their inquiries;
- Assist Service Advisors with the daily management of repair and maintenance files;
- Answer customer phone calls, emails, and messages;
- Follow up with customers regarding the progress of work being performed on their vehicles;
- Schedule and confirm service appointments;
- Prepare and update customer files in the dealership management system;
- Support Service Advisors by answering customer questions and providing information regarding repairs, timelines, and available services;
- Follow up on administrative documents and vehicle loan agreements;
- Collaborate with the Parts and Shop Departments to facilitate operational coordination;
- Contribute to improving the customer experience and maintaining a high level of customer satisfaction;
- Perform any other related duties as assigned by management or service department supervisors.

Courtesy vehicles management:

- Reserve courtesy vehicles;
- Handle vehicle pick-ups and returns;
- Verify driver’s licences and required documentation;
- Monitor vehicle availability, maintenance, and cleanliness.

Desired profile:

- Experience in customer service or an administrative role (an asset);
- Excellent communication and interpersonal skills;
- Strong organizational skills and effective priority management;
- Ability to work in a fast-paced environment;
- Proficiency with standard computer applications;
- Team-oriented mindset, professionalism, and a positive attitude;
- Valid driver’s licence.
