Job summary:
The Service Advisor acts as a liaison between customers and the auto repair shop. They greet customers, identify their maintenance and repair needs, prepare cost estimates, coordinate work with technicians, and ensure comprehensive follow-up on service orders. Their primary objective is to deliver an exceptional customer experience while contributing to the profitability of the service department.
Key responsibilities:
Customer service:
- Greet customers in a professional and courteous manner;
- Gather and analyze customers’ needs and concerns regarding their vehicles;
- Clearly explain recommended work, turnaround times, and associated costs;
- Maintain regular communication with customers throughout the repair process;
- Ensure customer satisfaction and handle problematic situations professionally.
Work order management:
- Open, document, and close work orders;
- Prepare repair estimates;
- Obtain the necessary authorizations before work is performed;
- Ensure the accuracy of information recorded in files;
- Ensure accurate billing that reflects the work performed.
Coordination with the shop:
- Monitor the progress of repairs;
- Communicate effectively with technicians to obtain the necessary information for customers;
- Ensure that deadlines promised to customers are met.
Service sales and preventive maintenance:
- Recommend necessary maintenance and repairs in accordance with the manufacturer’s guidelines;
- Present additional services that can improve the vehicle’s safety, performance, or longevity;
- Contribute to meeting sales targets for parts, labor, and services.
Administration and compliance:
- Ensure warranty claims are processed in accordance with the manufacturer’s requirements;
- Keep customer and vehicle records up to date;
- Comply with internal policies, manufacturer standards, and dealership procedures;
- Participate in required training to keep technical knowledge current.
Required qualifications:
- Experience in the automotive industry, ideally in after-sales service;
- Knowledge of the PBS or X-Time management system (a plus);
- Valid driver’s license.
