The candidate will advise customers at the counter, over the phone, or via email, and assist technicians, technical advisors, and sales representatives.
Responsibilities:
• Help customers select parts efficiently and provide high-quality service to both in-store and external customers;
• Inform customers about accessories and special offers;
• Ensure that customers are aware of the full product line;
• Answer phone calls and/or emails, provide pricing, and offer any other information;
• Reach out to regular customers by phone;
• Ensure that internal parts requests are billed on the after-sales service repair order;
• Process payments from retail customers or obtain credit authorization;
• Ensure that all customers receive their copy of the invoice;
• Issue credit for returned parts, verifying the existence of the original invoice or its number to confirm the purchase and price;
• Maintain organized records of all repair orders, invoices, insurance estimates, and special-order parts;
• Follow up on pending orders;
• Check, on a weekly basis, the records of orders to be picked up by customers or delivered to their locations, as well as pending orders;
• Ensure that unclaimed items that are no longer in demand are returned to suppliers or stored;
• Restock assigned inventory daily;
• Organize and fulfill orders from inventory;
• Organize orders for daily shipping, delivery, or pickup;
• Label parts to be returned for replacement and parts to be recycled in accordance with the manufacturer’s policies;
• Notify the parts manager in the event of a stockout or when immediate attention is required regarding workshop equipment;
• Identify out-of-stock parts from an external source and place an urgent order if necessary;
• Notify the technical advisor and the customer upon receipt of special-order parts;
• Participate in the annual parts return process;
• Assist field sales representatives in fulfilling their orders;
• Distribute workshop tools requested by technicians and track their use;
• Ensure that counters are clean and tidy;
• Clean computers and printers daily;
• Collaborate with the parts manager to maintain a program for tracking lost sales;
• Stay informed about all new and updated products;
• Assist with receiving merchandise as needed;
• Help keep the parts department clean;
• Deliver parts to technicians as needed.
Knowledge of the following computer systems:
• Microsoft Office suite, such as Excel and Word;
• Manufacturer systems such as E-biz;
• DMS such as Serti;
• Supplier ordering system.
Miscellaneous tasks:
• Attend meetings;
• Present yourself professionally;
• Perform other duties as needed and as directed by management.
