Job description

We are currently looking for a Parts Manager to join our team.

The person we're looking for must be a self-starter with excellent interpersonal and organizational skills.

Brief job description:

You will be responsible for ensuring the profitability of the parts department by monitoring the capital invested by the dealership in relation to the objectives of the service department, new and used vehicles and parts inventory. You'll also need to achieve set objectives using means such as appropriate purchasing terms and conditions, inventory management, leveraging human resources, safety, pricing, merchandising, presentation and advertising.

Main duties:

- Establish and achieve departmental objectives in collaboration with supervisor;
- Manage the department's annual operating budget;
- Monitor sales reports and productivity. Develop and use a computerized sales loss tracking report;
- Analyze monthly sales, expense and inventory reports to ensure profitability targets;
- Manage wholesale parts program to achieve profitability;
- Maintain a balanced inventory that meets the needs of the service department, body shop, wholesale customers and the public. Monitor and adjust inventory to minimize obsolescence;
- Collaborate with the After-Sales Service Manager and Accounting to ensure the efficient turnover of parts required for in-house (shop) work;
- Ensure that the same high level of service quality provided to external customers is also provided to the company's internal customers;
- Deal with customer complaints on the spot, as directed by the dealer;
- Ensure effective communications within the department and with other departments. Strive for harmony and team spirit with all other departments.

Purchasing and pricing duties:

- Maintain an efficient inventory management system (special orders, parts returns, rush orders, promotions, seasonal orders);
- Track, calculate and record monthly the dollar value of rush orders and the resulting accumulation of obsolescence losses;
- Track, calculate and record monthly the dollar value of non-standardized orders and the resulting additional cost of sales;
- Reduce non-standardized orders when a replacement product is available, while taking service levels into account;
- Order parts;
- Ensure that all orders are stored and recorded according to guidelines;
- Manage the purchase of parts from sources other than the manufacturer;
- Ensure at all times that parts can be found in stock or located via various sources (manufacturer, dealer or others).
- Keep the parts price list up to date.

Administrative tasks :

- Follow up and check invoicing, accounts receivable, claims and credits for accuracy;
- Ensure that all parts are labeled correctly so that the dealer can receive full credits from the manufacturer;
- Ensure that credits are issued for returned parts;
- Manage parts returns and remove them from inventory when credits are issued;
- Track parts to be replaced (under warranty) and parts to be returned according to manufacturer's requirements;
- Reconcile inventory and send a copy to accounting at month-end;
- Provide the accounting department with month-end appraisal and depreciation information;
- Provide the accounting department with claims information in good time, in order to draw up the accounts receivable list;
- Manage shipping and receiving activities to ensure timely processing;
- Implement and enforce theft prevention measures in the parts department.
- Manage annual parts inventory.

Tasks related to human resources management :

- Conduct formal performance appraisals of human resources under his/her responsibility at fixed intervals;
- Train and motivate the team under his/her responsibility and participate in their hiring in collaboration with his/her superior;
- Encourage teamwork in a customer-focused sales environment throughout the sales, delivery and follow-up processes.

Requirements :

- 2 years' experience in this position;
- Computer literate;
- Autonomous and resourceful;
- Rigorous work ethic;
- Ability to work as part of a team.

Miscellaneous duties :

- Participate in building management as directed by management;
- Participate in directors' meetings;
- Replace parts clerks as needed;
- Present self in a professional manner;
- Perform other duties as required and directed by management.

The work schedule is Monday to Friday daytime only.

Possibility of group insurance after the 3-month probation period.
