Job Title: Manager, Fleet & Asset Operations

Position Summary:

We are seeking a driven and experienced leader to join our team as Manager, Fleet & Asset Operations. This role oversees the management, compliance, maintenance, and performance of fleet and operational assets across all divisions, ensuring all vehicles and equipment are safe, compliant, properly maintained, and fully deployment-ready.

The position provides end-to-end operational, technical, financial, and digital asset oversight across the full lifecycle of fleet operations, including maintenance coordination, compliance management, asset planning, budgeting, performance tracking, and systems administration. You will ensure strong governance, accountability, and consistency across all fleet-related activities.

As a hands-on leader, you will actively support field operations while leading and developing a dedicated team. Working closely with fleet staff, vendors, dispatch/logistics, and internal departments, you will maintain operational readiness, resolve challenges, and drive continuous improvement across the fleet.

Reporting Structure

Reports To: Operations Manager
Direct Reports: Fleet Assistant, Building Facilities & Operations Support Coordinator, and Fleet Support Technicians.

What You'll Be Responsible For:

Leadership & Supervisory Responsibilities

 

  • Supervise, support, and coach fleet personnel to ensure safe, efficient, and compliant fleet operations
  • Oversee daily fleet activities including asset utilization, deployment coordination, and operational readiness
  • Promote accountability, professionalism, and adherence to safety and operational standards across the fleet
  • Address performance concerns related to meeting standards including cleanliness, vehicle care, inspections, safe operating practices, and compliance with company standard operating procedures, escalating issues to Operations or HR when required
  • Ensure PPE compliance, safe work practices, and yard safety standards are consistently maintained through coaching, documentation of deficiencies, corrective action follow-up, and escalation of non-compliance
  • Monitor fleet performance metrics and implement improvements to increase efficiency and availability
  • Participate in weekly operations meetings and monthly safety meetings, providing fleet performance updates and insights


Regulatory & Inspection Accountability

 

  • Ensure all fleet operations meet WorkSafeBC requirements and applicable regulatory standards
  • Maintain full roadside inspection readiness, including required safety equipment and documentation, ensuring safety equipment is present and serviceable
  • Review, audit, and enforce completion of daily Pre-Trip inspections and Truck Sign-Out/Sign-In records prior to deployment, ensuring 100% completion before vehicle deployment
  • Immediately remove unsafe vehicles or equipment from service
  • Ensure all fleet-related deficiencies and corrective actions are documented, prioritized, tracked to resolution, and maintained in an audit-ready format aligned with regulatory and COR requirements
  • Escalate repeated or unresolved non-compliance to Operations as required


Preventative Maintenance, Fleet Reliability & Repair Coordination

 

  • Develop, maintain, and update preventative maintenance schedules across all fleet assets
  • Coordinate repair bookings, vendor services, and vehicle/equipment transport
  • Sequence repairs to balance safety, compliance, and operational continuity
  • Implement and maintain a zero-downtime deployment strategy through proactive maintenance planning, redundancy coordination, and real-time fleet tracking
  • Monitor fleet downtime metrics and implement corrective actions to improve availability and reliability


Technical & Mechanical Oversight

 

  • Interpret telematics data, diagnostic alerts, and fault reporting to support maintenance decisions
  • Perform or support minor field repairs when safe and appropriate
  • Determine when external repair services are required and coordinate with approved vendors
  • Provide technical input into fleet specifications, equipment standards, and operational suitability


Asset Lifecycle, Budgeting & Financial Oversight

 

  • Maintain and manage the centralized Fleet & Asset Register (AirTable)
  • Oversee fleet purchasing, asset preparation, and commissioning prior to service entry
  • Develop and manage annual fleet budgets in coordination with Operations and Finance
  • Plan asset replacement cycles and capital purchases, including preparation of recommendations for senior approval for vehicle replacements and capital purchases, and obtain Senior Management approval prior to procurement.
  • Oversee asset decommissioning, resale, and retirement processes


Vehicle Upfitting & Equipment Standards

 

  • Coordinate vehicle and equipment outfitting with approved vendors based on company standards
  • Verify installation and functionality of critical equipment (e.g., tires, lighting, radios, telematics, Starlink, safety equipment/systems)
  • Conduct and document final inspections prior to asset release into service
  • Ensure no vehicle or asset enters service without full compliance and documented authorization


Fleet Allocation & Operational Coordination

 

  • Work daily with Dispatch/Logistics to assess fleet readiness, maintenance priorities, asset availability, assets removed from service, and replacement equipment requirements
  • Provide accurate, real-time updates on fleet status, availability, and restrictions, and proactively report upcoming maintenance impacts to support operational planning
  • Confirm vehicle and equipment compliance and readiness prior to mobilization
  • Coordinate staging, equipment preparation, and deployment readiness to support field operations, including both scheduled and emergency deployments


Digital Systems & Data Administration

 

  • Serve as administrator for Samsara Telematics administration system, including accurate vehicle enrolment and configuration, monitoring of safety events, idle time, diagnostics, and fleet performance trends, and provision of performance reporting to Operations
  • Manage inspection and maintenance workflows using SiteDocs and AirTable, ensuring data integrity across systems, including inspection and maintenance request intake
  • Track, prioritize, and resolve deficiencies using Fleet AirTable register for lifecycle monitoring, while identifying recurring issues for preventative improvements; update, document and communicate findings to relevant personnel
  • Administer, assign and track fuel cards, monitor usage patterns and anomalies, and support reconciliation with Finance


Key Performance Indicators

 

  • ≥ 90% Deployment Readiness: Maintain high fleet deployment readiness
  • 100% Inspection Compliance: Achieve full inspection and compliance tracking standards
  • < 10% Fleet Downtime: Reduce fleet downtime through proactive maintenance and planning
  • 100% Corrective Action Closure: Ensure timely closure of corrective actions and deficiencies
  • ≥ 95% Preventive Maintenance Completion Rate: Ensure scheduled preventive maintenance is completed on time to maximize fleet reliability and reduce unplanned breakdowns
  • Zero Preventable Safety Incidents / Reduction in Safety Events: Maintain a strong safety culture by eliminating preventable incidents and continuously reducing safety-related events through proactive controls and enforcement
  • Fleet Utilization Rate ≥ X%: Optimize asset deployment to ensure fleet vehicles and equipment are actively utilized in alignment with operational demand and efficiency targets
  • Maintenance Cost Within ±X% of Budget: Manage maintenance expenditures to remain within approved budget parameters while balancing cost efficiency, safety, and operational requirements
  • 100% Fleet Asset Register Data Accuracy (AirTable / Systems): Maintain complete and accurate fleet asset records within AirTable and related systems to support reliable tracking, reporting, and decision-making
  • 100% Critical Deficiency Response Within SLA Timeframe: Ensure all critical fleet deficiencies are addressed within defined service level agreement timelines to maintain safety, compliance, and operational continuity


Authority

The Manager, Fleet & Asset Operations has authority to:

 

  • Remove vehicles or equipment from service
  • Approve maintenance expenditures within budget limits
  • Enforce inspection compliance standards
  • Audit fleet vehicles at any time
  • Restrict or authorize vehicle/equipment deployment based on safety, compliance, and operational readiness
  • Escalate safety or operational risks
  • Recommend capital purchases for Senior Management approval


Qualifications

 

  • Minimum 5 years of experience in fleet and asset management within an operational or industrial environment
  • Proven supervisory or leadership experience, with the ability to lead, coach, and support a team
  • Strong mechanical aptitude with demonstrated troubleshooting and problem-solving capabilities
  • Experience managing budgets, tracking expenditures, and supporting capital planning and forecasting
  • Solid understanding of BC Occupational Health and Safety (OHS) legislation and applicable regulatory requirements
  • Ability to work effectively in a fast-paced environment while managing multiple priorities and operational demands
  • Demonstrated ability to lead from the front in a hands-on role, supporting field operations while managing team performance, systems, and administrative responsibilities
  • Valid Class 5 driver's licence required
  • Demonstrated commitment to workplace safety; relevant certifications (e.g., First Aid, WHMIS) and experience working within COR or similar safety programs considered assets


Work Environment & Requirements

 

  • Combination of office, yard, and field-based work, including exposure to outdoor conditions and active operational environments
  • Comfortable performing both physical, hands-on tasks and administrative responsibilities
  • This is a safety-sensitive position; strict adherence to all safety policies, procedures, and PPE requirements is mandatory
  • Occasional after-hours or on-call support may be required to meet operational needs
