Position Summary

The Fleet Management and Administrative Support Summer Student will support the day-to-day coordination and upkeep of Helping Hands' transportation fleet while also providing general administrative and office support as needed. This role offers a valuable opportunity for a student to gain hands-on experience in fleet operations, office administration, record-keeping, and nonprofit operations and is being offered under the Canada Sumer Jobs Program.

Reporting Relationship

Reports to: Manager, Client Services

The student will receive regular supervision, feedback, and mentoring to support learning and skill development throughout the placement.

Key Responsibilities

Fleet Management Support:
• Maintain fleet records, vehicle logs, and inspection checklists
• Assist with coordinating vehicle maintenance and cleaning
• Track mileage, fuel usage, and supplies
• Support communication with drivers regarding vehicle issues

Administrative and Office Support:
• Provide general administrative assistance
• Data entry, filing, scanning, and record maintenance
• Reception and phone support as needed
• Assist with reports, spreadsheets, and scheduling

Health, Safety, and Compliance:
• Follow health and safety policies
• Maintain confidentiality of sensitive information

Other Duties:
• Support special projects and events
• Perform other duties as assigned

Qualifications

Required:
• Eligible for Canada Summer Jobs (15-30 years)
• Strong organizational and communication skills
• Basic computer proficiency
• Ability to work independently and in a team

Preferred:
• Interest in administration or operations
• Valid G-class driver's licence (asset)

Working Conditions

Office-based with some operational support. Light physical activity may be required. Training and supervision provided.
