Job Title: Inventory and Fleet Manager Assistant

Location: Remote

Job Type: Full-Time Department:

Salary: $45,000 CAD/Annually

Work Schedule: 9am-5pm EST (Monday to Friday)

Operations Reports To: Inventory and Fleet Manager

Position Overview

We are seeking a detail-oriented and highly organized Inventory and Fleet Manager Assistant to support the day-to-day operations of our inventory and fleet management systems. This individual will play a key role in ensuring accurate data management, maintaining fleet compliance, reconciling vendor transactions, and supporting branch-level accountability. Key Responsibilities 

Inventory Data Management 
 

  • Input new products and update pricing in the inventory system to ensure optimal vendor selection and cost-effectiveness.
  • Reconcile supplier invoices with purchase orders and the master price list to verify the accuracy of deliveries and pricing.
  • Maintain and enforce inventory-related bonus criteria for branch managers, tracking compliance with weekly and quarterly inventory counts, order processing timelines, and vehicle inventory return procedures.
  • Collaborate with branch managers to keep warehouse data in the Insight warehouse spreadsheet up to date and communicate changes to suppliers to ensure correct delivery details.


Fleet Vehicles Management 
 

  • Act as liaison between branch managers and the insurance broker for adding/removing drivers from the policy.
  • Monitor Azuga for maintenance reminders and notify branch managers of upcoming service needs.
  • Follow up on maintenance completion and update vehicle records in Azuga accordingly. File insurance claims with necessary documentation, including Azuga safety camera footage and accident report forms.
  • Reconcile toll and traffic violation invoices, ensuring proper payroll deductions are coordinated with branch managers.
  • Manage provincial vehicle registration renewals in a timely manner.


Enterprise Rentals Management 
 

  • Reconcile Enterprise rental invoices and damage claims for accuracy, following up on any discrepancies.
  • Obtain and investigate citation charges using Azuga data, and coordinate with branch managers for appropriate employee payroll deductions.
  • Handle accident reporting for not-at-fault incidents and coordinate with Enterprise and internal stakeholders to mitigate costs.


Gas Cards & Azuga System Oversight 
 

  • Validate fuel card expenses against Azuga trip reports for proper usage and accuracy.
  • Ensure rebate amounts on gas card reports are accurate.
  • Manage Azuga alert settings for GPS issues, after-hours use, and driver performance notifications.
  • Oversee seasonal suspension/reactivation of Azuga devices and confirm all fleet vehicles have functioning GPS and camera units installed.
  • Deactivate unused Canadian fuel cards to prevent unnecessary charges.
  • Paying the Balance on Gas card accounts.
  • Coordinate warranty replacements of Azuga devices and cameras with vendors and internal teams.


Branch Manager Performance Tracking 
 

  • Maintain and track branch managers' compliance with vehicle and inventory management responsibilities according to bonus rubrics.
  • Ensure enforcement of key policies such as:


• Personal use of vehicles

• Correct GPS and fuel card assignments

• Completion of vehicle intake/return forms

• Timely reporting and vehicle tracking

Qualifications
 

  • Previous experience in administrative support, inventory, logistics, or fleet management preferred.
  • Strong attention to detail and a high degree of accuracy.
  • Excellent organizational, communication, and problem-solving skills.
  • Proficient in Microsoft Excel and familiar with platforms such as Azuga or other fleet management software.
  • Ability to manage multiple priorities and work effectively with cross-functional teams.
