You as a Fleet Coordinator will:
- Fleet Asset Administration
- Maintain accurate asset records across systems (GeoTab, Power Apps, Texada/FOSS, etc.).
- Track vehicle onboarding/offboarding, inspections, upfitting, and equipment assignments.
- Coordinate deliveries, documentation, registrations, insurance, and decals.
- Manage plates, CVIPs, renewals, recalls, service schedules, and warranties.
- Telematics Monitoring & Reporting
- Monitor GeoTab dashboards for idling, harsh driving, seatbelt use, fault codes, and GPS/device issues.
- Prepare weekly/monthly reports for managers and safety teams.
- Follow up on corrective actions and provide insights for cost reduction and risk mitigation.
- Driver & Stakeholder Support
- First point of contact for driver questions, telematics troubleshooting, and vehicle assignments.
- Maintain driver records (licenses, abstracts, certifications).
- Support employee onboarding/offboarding from a fleet perspective.
- Incident Coordination
- Document and triage accidents/incidents.
- Coordinate insurance reporting, repairs, rentals, and track trends/costs.
- Maintenance & Vendor Coordination
- Liaise with dealerships and service vendors for repairs and PM schedules.
- Track R&M spend, warranty work, and downtime.
- Operational Support
- Assist with Power Apps/Power BI dashboards and compliance reporting.
- Maintain asset/vendor lists and SOP documentation.
- Support audits across divisions.
Is this the right role for you?
- Minimum 1 year experience in the commercial transportation space, preferably within the environment of both commercial and light duty vehicles
- High school diploma, and additional related post-secondary education is a plus.
- Strong organizational skills with the ability to multi-task and manage or establish competing priorities.
- Comfort with data, dashboards, and continuous monitoring.
- Excellent communication skills; able to engage respectfully but firmly with field staff.
- High attention to detail and accuracy.
- Highly motivated and able to work independently.
- Ability to follow structured processes and ensure compliance.
- Prior experience with fleet, logistics, construction equipment, dispatching, or operations (preferred).
- Knowledge of local, provincial, federal vehicle safety regulations.
- Experience with telematics (GeoTab strongly preferred) or willingness to learn quickly.
