The Senior Procurement Specialist is responsible for supporting the procurement team at Fix Network. The Senior Procurement Specialist coordinates his or her efforts with Fix Network Procurement Team, Head office staff and Finance Team to track contracts lifecycle and implement effective mechanisms to support the sourcing processes and to harness the full benefit of the negotiated contract to Fix Network. This individual will utilize expert knowledge in PowerBI, Excel, PowerPoint and Microsoft Form to create departmental dashboards, analytics and presentations for communication with Senior management.

This individual will also collect and analyze data, prepare reports, and identify areas for improvement. The Senior Procurement Specialist will collaborate with the Director of Procurement and other departments to ensure alignment with Fix Network procurement goals. Additionally, this individual will drive and support all operational activities within the procurement department which may include but not be limited to fleet management, IT hardware asset management, equipment tracking and the management of systems and tool within the procurement department.

Job Duties

 

  • Organize, direct, and evaluate the procurement activities of the organization under the leadership of the Director of Procurement.
  • Maintain an extensive database for all contracts, projects and assets and provides dashboard for the procurement department.
  • Prepare and present detailed procurement reports, including metrics such as the number of contracts in progress/completed, benefits achieved from contract negotiations, contract expirations, etc.
  • Analyze data to provide insights that support business decisions focusing on cost reduction, revenue growth, and improvements in supplier performance.
  • Liaise with internal/external associates regarding integration opportunities for data extractions and incorporation into Procurement dashboards. Support Procurement and Fix Network buying group to implement a supplier follow-up process under the guidance of the procurement leadership team. Collaborate with cross-functional teams to gather data and provide insights to support departmental initiatives.
  • Support the requirements identification process with teams consisting of Fix Network staff and franchisees, where applicable.
  • Support the development of purchasing policies, procedures and monitor purchasing department budget; including the development, implementation and review of SOP's and KPI's, while ensuring that the policies and procedures are applied to each procurement project and posting key documents to the procurement systems.
  • Identify vendors of materials, equipment or supplies.
  • Evaluate cost and quality of goods or services.
  • Support Fix Network's programs, including large equipment purchasing.
  • Review and support the processing of claims against suppliers.
  • Process Improvements and continuous improvement expertise for Procurement
  • Category Management support (Assisting in Implementing process improvements and Supplier set-up, etc.).
  • Arrange for payments to vendors for products or services procured.
  • Conduct special projects pertaining to Procurement and Finance, as required, ensuring timelines and outcomes are managed.
  • Support category and procurement managers in planning in the event of shortages or delayed deliveries to minimize impact on the organization.
  • Manage the procurement Intranet page and franchisee facing portals.
  • Support the Procurement team with contract management and negotiations as needed.


Requirements

 

  • Bachelor's degree in business administration
  • 3-5 years' progressive experience in purchasing and analytic role. At least 2 years' related experience in an environment handling Big DATA and utilizing AI tools for Procurement.
  • PMAC (Purchasing Management Association of Canada) Certification, enrolment in PMAC Accreditation Program with Level 2 status, or the combination of education, PMAC and experience.
  • Some knowledge of contract law, inventory control, duty and taxation regulations related to procurement processes.
  • Exceptional oral and written communication skills to communicate effectively with all levels within the organization and with external stakeholders.
  • Strong writing skills for creating reports, correspondence, contracts, requests, bids, and other documentation.
  • Knowledge of the appropriate tools for grading, analyzing, and assessing materials, equipment, supplies, services, and other commodities.
  • Demonstrated understanding of integrated supply chain and logistics concepts and theories.
  • Exceptional forecasting ability with strong analytical and interpretive skills.
  • Experience in the automotive industry - an asset
  • Must be proficient in the use of computers and word processing, spreadsheet and e-mail (MS Word, MS Excel, Outlook/email, Internet browser applications) in a Windows environment.
  • Advanced Excel skills, including pivot tables and VLOOKUP.
  • Must have superior knowledge of Microsoft PowerBI, Forms and SharePoint.
  • Negotiation and problem-solving skills as demonstrated through experience.
  • Ability to gather, analyse data and prepare and present written reports of findings.
  • Must possess strong interpersonal skills and the ability to work independently and within a team environment.
  • Must be knowledgeable of Hazardous Waste Legislation (WHMIS).
