Job description

Overview

Under the general supervision of the Towing Coordinator, the Vehicle Control Clerk maintains the vehicle inventory at the Physical Damage Compound (PDC), as well as Master Service Asgreement (MSA) approved storage facilities across Manitoba, in accordance with departmental policies and procedures.

The Vehicle Control Clerk receives and inventories all vehicle equipment and contents upon arrival at PDC. The position ensures that all vehicle contents are itemized. Photographs of vehicles are taken to establish the condition of the vehicle upon entry.

The Vehicle Control Clerk is responsible for accurately entering and maintaining data in VISion and is responsible for monitoring the length of time an item remains in compound inventories, and takes action as required.The position supports a reduced cycle time of all PDC and MSA storage facilities vehicle inventory.

Responsibilities

 

  • Using VISion, tracks movement of all incoming and outgoing vehicles, including the vehicles received after hours, and stolen and recovered vehicles reporting.
  • Using VISion, monitors and supports vehicle inventory in all storage locations across the province.
  • Monitors and takes action to complete CARS To Do List tasks and handle items in outlook inboxes.
  • For fresh vehices, updates inventory of vehicles and contents in VISion upon arrival to PDC using honeywell device. Takes and uploads up to five photographs and uploads them to the stock in VISion.
  • Receives keys from Service Centres and allocates them to the appropriate vehicle in the compound.
  • Assists and coordinates the return of vehicles to owners, if applicable.
  • Monitors Mitchell Request for Vehicle Actions (RVA's) to support Estimating Operations.
  • Performs customer service tasks including troubleshooting, outbound phone calls to repair shops and customers, and answering general inquires.
  • Greets and assists in person customers and provides support to external towing companies (contract MSA and non MSA towers) with questions and concerns.
  • Handles all incoming phone and email inquires from MPI staff, Security, external towers or from customers with regards to vehicles at the compound or at any MSA storage facility.
  • Monitors RVAs and dispatches towing requests for MSA towers.
  • Using Vision, assists and coordinates the dispatching of tow trucks to pick up customer vehicles and have them towed from PDC to a repair facility.
  • Monitors outstanding tow requests and follows up with vendor as required.
  • Answers calls and emails from external vendors regarding towing and storage invoices and payments, including general support on the Towing and Storage Master Service Agreement.
  • Provides backup coverage to Towing Payment Clerks as required.
  • Performs other duties as assigned.


Qualifications

Education:
 

  • High school diploma or equivalent.


Experience:
 

  • Two years of office experience, including one year in Physical Damage Claims Operations environment.


Technical Knowledge and Skills:
 

  • Handles multiple tasks and prioritizes assignments to meet deadlines.
  • Work independently and as part of a team.
  • Working knowledge of applicable software including Word, Excel,Outlook,
  • Working knowledge of CARS and VISion is an asset.
  • Operate a calculator and perform basic calculations.
  • Work with accuracy and attention to detail.


Conditions of Employment

 

  • Candidates must have a valid driver's licence.
  • Must be physically able to work from ladders, lifts or heights of three metres or more.
  • Works near or operates powered mobile equipment.
  • Operates power tools, equipment or machinery.
  • Required to work outdoors.
  • May be required to work alone
  • Required to wear company uniform and safety shoes
  • Required to wear hi-visibility clothing (jackets/outerwear); Personal Protection Equipment (PPE) Hazardous material suits.
