The Opportunity 

As Fleet Operations Administrator, you'll support the acquisition, delivery, transfer, and disposal of vehicles across Roam's growing fleet. 

Working closely with our Operations team, you'll help coordinate paperwork, maintain records, communicate with customers and vendors, and ensure vehicle transactions move smoothly through every stage of the process. 

This role is ideal for someone who is highly organized, detail-oriented, and interested in building a career in operations, fleet management, logistics, or the automotive industry.

What You'll Do 
 

  • Support vehicle fulfillment projects for Roam's business customers
  • Assist with vehicle sourcing activities and dealership communications
  • Prepare and organize documentation related to vehicle acquisitions, registrations, funding, and customer deliveries
  • Coordinate scheduling and communication between customers, dealerships, operations teams, and third-party vendors
  • Support relationships with upfitters, accessory providers, and other service partners
  • Track vehicle orders and help provide status updates to customers and internal stakeholders
  • Assist with invoicing, payment tracking, and administrative follow-up
  • Support vehicle acquisition and disposal activities across Roam's growing fleet
  • Maintain accurate records and ensure all paperwork is completed, organized, and stored correctly
  • Assist with vehicle sale and transfer transactions as required
  • Work closely with the Operations team to ensure vehicles are properly prepared for delivery, transfer, or sale
  • Identify administrative inefficiencies and provide suggestions for process improvements


What Success Looks Like 

In your first year, you'll: 

 

  • Maintain accurate records and documentation across a high volume of vehicle transactions
  • Ensure paperwork is completed correctly and on time
  • Help coordinate vehicle deliveries, acquisitions, transfers, and disposals
  • Build positive working relationships with customers, vendors, dealerships, and internal teams
  • Become a reliable source of administrative and operational support for the Fleet Operations team
  • Help the business efficiently manage a growing number of vehicle transactions


Ideal Qualifications 
 

  • 1-3 years of experience in administration, customer service, operations support, logistics, or a similar role
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and deadlines simultaneously
  • Strong written and verbal communication skills
  • Comfortable working in a fast-paced environment
  • Strong computer skills and comfort working with spreadsheets, documents, and business software
  • A willingness to learn and take on new challenges
  • A positive attitude and strong sense of accountability
  • Experience in automotive, transportation, logistics, fleet, leasing, equipment rental, or other asset-based industries is considered an asset but not required

Location 

This role is based full-time in our Etobicoke office during onboarding and probation. 

After successfully completing probation, employees may become eligible for a hybrid work arrangement. 

Compensation & Benefits 

Compensation: Starting at $45,000 per year, with opportunities for compensation growth based on performance and increased responsibility.
