The Role

As an Appointment Coordinator, you'll be one of the first points of contact for our service clients. Whether it's by phone, text, email, or online booking, you play a key role in creating a smooth, professional, and welcoming experience from the first interaction.

You'll help guide clients through their service needs, ensure appointments are set up properly, and keep both clients and service teams informed and on track. This is a fast-paced, team-focused role where strong communication and attention to detail go a long way.
What You'll Be Doing
 

  • Connect with clients by phone, email, and text to schedule and coordinate service appointments
  • Review and confirm service details, making sure all client concerns are clearly documented
  • Recommended maintenance and service needs
  • Send reminders and follow-ups to keep clients informed and engaged
  • Work closely with Service Advisors to manage schedules and keep shop capacity running efficiently
  • Ensure all appointment details (date, time, transportation needs, etc.) are accurate and up to date

What We're Looking For
 

  • Strong communication skills with a professional, client-focused approach
  • Previous customer service experience
  • Organized, detail-oriented, and able to manage multiple tasks
  • Comfortable working in a team environment
  • Positive attitude and willingness to learn
  • Basic computer skills (Excel is an asset, but not required)

Schedule
 

  • Full-time (40 hours per week)
  • Monday to Friday, with occasional weekends
  • Based out of our Oakville location
