Our Mercedes-Benz Oakville is looking for a Sales Administrator to join us!
Job Purpose
The Sales Administrator supports the Sales Management Team by ensuring the efficient administration of all New and Pre-Owned vehicle transactions within the Sales Department. This role also provides reception coverage and assistance as required.
The objective of the Sales Administrator is to provide assistance to the Sales Managers by relieving him/her of administrative tasks, thereby allowing him/her to concentrate on revenue generating tasks, while still ensuring every customer in the showroom is greeter and directed to the proper personnel. Additionally, the Sales Administrator is responsible for various administrative tasks associated with stocking and maintaining inventory logs, systems, etc.
Core Accountabilities
The Sales Administrator is responsible for the following duties, including but not limited to:
- Ordering all stock vehicles as allocated from Mercedes-Benz
- Work with Sales Manager to determine order specifications including engines, options and colours
- Assigning stock numbers to all incoming vehicles in 180 and Garage Register
- Coordinating all New and Used licensing
- Ensuring all proper documentation is complete
- Ensuring the completion of Garage RegisterGarage Register
- RDR reporting to Mercedes-Benz on all New vehicles (Used Vehicles as required)
- Arranging shipments for all dealer trades
- Working with dealers to secure/trade inventory as required
- Arranging paperwork and transportation for trades
- Maintaining Sole Order List as stored on G drive
- Storing all customer 'sold' orders and review order movement throughout the cycle
- Moving file to Management when vehicle is to arrive in to Toronto within 10 business days
- Understanding the upcoming allocation and being ready to report on inventory availability
- Updating spreadsheets to communicate incoming stock and cars sold
- Backing up other Sales Administrators as required
- Other duties as assigned
Requirements:
- Valid Ontario G Driver's Licence.
- Previous experience in automotive dealerships
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Ability to collate and record information accurately while maintaining detailed records.
- Logical, systematic approach to tasks.
- Ability to maintain filing systems and database.
- Ability to work under deadlines and targets in a high-pressure environment.
- Strong knowledge of 180, ADP/CDK or Reynolds software, Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Excellent communication skills and customer service. Including written and verbal skills to communicate with all employees.
