Civeo Premium Services is seeking a Fleet Coordinator to support the day-to-day management of our commercial and corporate vehicle fleet. This role is ideal for someone who enjoys working across teams, managing multiple priorities, and contributing to safety, compliance, and operational excellence.
Key Responsibilities
- Coordinate administrative activities related to fleet procurement, upfitting, maintenance, repairs, and servicing.
- Administer and coordinate preventative maintenance and repair schedules, tracking progress and ensuring timely completion.
- Review and validate driver documentation, including licenses, certifications, and driving records.
- Work closely with third-party fleet vendors and internal Supply Chain teams to ensure quality service and cost-effective solutions.
- Support Vehicle Life Cycle Analysis to align with environmental, safety, and transportation regulations.
- Assist with the development and rollout of fleet policies, procedures, and compliance programs across all sites.
- Oversee the Commercial Vehicle Inspection Program, ensuring accurate documentation and regulatory compliance.
- Support fleet-related programs such as operating authority renewals, fuel usage reporting, permits, insurance, registrations, driver logbooks, and inspections.
- Coordinate vehicle safety training and promote adherence to company policies and safe driving practices.
- Partner with the Health, Safety, and Environment (HSE) team on incident investigations and insurance claims.
- Administer the In-Vehicle Monitoring System (IVMS), including user support and training.
- Prepare regular and ad hoc reports for internal leaders, regulatory bodies, and external stakeholders.
- Contribute to fleet improvement initiatives and special projects as needed.
Qualifications
- Completion of high school is required. Post-secondary education in a related field is an asset.
- 2+ years of relevant experience in fleet administration, logistics, supply chain, or a related field.
- Strong proficiency in Microsoft office applications with proficiency in Excel.
- Experience in Geotab and other fleet management software is an asset.
- Experience with Geotab or other fleet management systems is an asset.
- General knowledge of vehicles and basic mechanical concepts.
- Solid understanding of health and safety regulations and transportation industry standards.
- Strong organizational, analytical, and time-management skills.
- Clear and professional communication skills, both written and verbal.
- Ability to work independently while collaborating effectively within a team.
- A proactive mindset and commitment to upholding company values.
