HGrégoire, a major automotive group recognized for its excellence and firmly established in Quebec, is looking to hire a sales secretary/administrative assistant for its Toyota Brossard branch.

Responsibilities:

- Prepare sales files: print, assemble, and validate contracts before delivery.
- Manage vehicle inventory entry (stock numbers, CDK, DeskIt, folders, keys).
- Process sales and financing files: send documents, track disbursements, RDR, warranties, DVN.
- Prepare and record vehicle purchases, manufacturer invoices, and required payments.
- Prepare contracts (sales, wholesale, etc.) and perform SAAQ-Clic transfers.
- Verify file compliance: W/O, amounts, corrections, washouts, commissions.
- Manage claims (federal/provincial, manufacturer) according to applicable programs.
- Scan, file, and archive files for accounting.
- Provide general administrative support to the sales, service, and management teams.
- Support financial managers in their day-to-day administrative tasks.
- Manage sales file discounts.
- Manage the SAAQclic service (new vehicle registration, inventory transfers, etc.).
- Welcome customers upon delivery, have them sign documents, and participate in the vehicle presentation.
- File documents and ensure compliance
- Take product training courses and master the delivery presentation
- Fill in for reception as needed
- Perform compliance checks before and after delivery, both in documentation and in computer systems (logs)

Required profile:

- Experience as a receptionist or sales secretary (at least 2 years) — mandatory.
- Intermediate-advanced bilingualism in French/English, both spoken and written, in order to communicate with our large English-speaking and French-speaking clientele.
- Excellent command of Google Workspace (Google Office) — essential.
- Ability to work with tight deadlines (especially at the end of the month).
- Strong customer service skills.
- Rigorous, detail-oriented, and able to work independently.
