Job description

At GFL Environmental we are seeking a detail-oriented, high-potential individual to serve as the operational hub for our landfill fleet maintenance shop. This role is responsible for the full "cradle-to-grave" documentation of equipment repairs-spanning our local shop and various remote landfill sites across the province. Reporting to the Regional Maintenance Manager, you will manage the flow of data in M5 AssetWorks and provide vital Procurement Support by tracking part orders and managing the billing lifecycle within Workday.

This position is based out of our Northland Landfill, located at 23520 Hwy 16A,Parkland County, AB.

Key Responsibilities
 

  • Work Order & Data Management: Open, track, and close work orders in M5 AssetWorks. Ensure all internal technician labor and 3rd party repair stories are documented with accuracy for a fleet of heavy yellow iron and support vehicles.
  • Procurement Support & Tracking: Identify and source required parts through vendor catalogs and OEM portals. Once sourced, you will be responsible for tracking these orders from shipment to arrival and ensuring all costs are correctly captured and billed within Workday.
  • Billing & Financial Integrity: Manage the "Paper Trail" for all shop spend. You will ensure that 3rd party invoices and parts receipts are accurately coded, matched to the correct Workday PO, and billed against the appropriate asset in AssetWorks.
  • Remote Site & Vendor Liaison: Support repairs at remote locations by coordinating with 3rd party vendors. You will facilitate the procurement of these services, gathering quotes for the Manager's approval and ensuring all external work is tracked and billed correctly.
  • Parts Logistics & Flow: Coordinate the movement of parts and shop consumables from the base site to satellite locations. You will ensure that field sites have the materials they need to minimize equipment downtime.
  • Inventory Control: Monitor shop stock levels (filters, fluids, G.E.T.) and conduct regular counts. You will be responsible for reordering essential consumables and ensuring they are properly received into the system.


Qualifications & Attributes
 

  • Experience: 2+ years in a service writing, parts counter, or administrative procurement role. Experience in heavy equipment, trucking, or industrial environments is highly preferred.
  • Software Aptitude: Proficiency with Fleet Management Software (AssetWorks preferred) and ERP systems (Workday).
  • Attention to Detail: High accuracy in data entry; you understand that a transposed digit on a part number or a billing code creates significant downstream issues.
  • Growth Mindset: A strong desire to learn the mechanical and financial nuances of fleet management. We are looking for an individual who wants to master this process and grow within the regional maintenance team.
  • Communication: Ability to bridge the gap between the shop floor and the corporate office-translating mechanical needs into clear financial records.
