We are currently looking for a full-time Fleet Coordinator to join our growing operations.

Job Summary

 

  • The Fleet Coordinator provides administrative, operational, and analytical support to ensure the effective coordination of AFL's national fleet program, consisting of over 300 assets (including vehicles, trailers, forklifts, and specialized equipment).
  • This role supports Fleet Operations, in maintaining accurate fleet records, coordinating vehicle acquisitions, renewals, and disposals, managing supplier interactions, and ensuring adherence to company policies and regulatory requirements. The incumbent plays a key role in maintaining fleet data accuracy, supporting safety and compliance initiatives, and ensuring that operational teams receive timely and reliable vehicle-related support.
  • The position requires a detail-oriented individual with excellent organizational skills, strong communication abilities, and the capacity to collaborate effectively with multiple departments, including Safety, HR, Operations, Finance, and Procurement.


Specific Responsibilities:

Fleet Coordination and Administration

 

  • Maintain and update fleet databases, records, and documentation related to vehicle inventory, registration, insurance, and licensing.
  • Assist with vehicle acquisition, renewal, and disposal processes in accordance with established procedures.
  • Track and monitor vehicle assignments, usage, mileage, and maintenance schedules.
  • Support implementation of fleet policies and ensure compliance with internal standards and provincial/federal regulations.
  • Assist in the preparation of reports, summaries, and presentations for management review.


Supplier and Vendor Support

 

  • Coordinate with suppliers and service providers regarding vehicle delivery, maintenance, repairs, and equipment orders.
  • Track service levels and escalate vendor performance issues when necessary.
  • Process supplier invoices, confirm accuracy, and ensure timely submission to Accounts Payable.
  • Maintain communication with leasing companies and dealerships to ensure on-time deliveries and returns.


Compliance, Safety, and Risk Support

 

  • Support fleet compliance activities by ensuring vehicles meet licensing, inspection, and insurance requirements.
  • Assist in monitoring vehicle recalls, preventive maintenance, and inspection schedules.
  • Maintain accurate documentation related to safety certifications and regulatory compliance.
  • Coordinate with the Safety team to ensure fleet standards align with AFL's safety policies.


Communication and Collaboration

 

  • Serve as a primary contact for fleet-related inquiries from Operations and internal departments.
  • Collaborate with HR, Safety, and Finance teams to support onboarding/offboarding processes involving company vehicles.
  • Provide general administrative support to the Fleet Operations team, including scheduling, documentation control, and data entry.
  • Contribute to process improvements and recommend enhancements to fleet coordination practices.


Qualifications:

Knowledge & Experience

 

  • 1-3 years of experience in fleet administration, logistics, or transportation coordination.
  • Post-secondary education in Business Administration, Supply Chain Management, or a related field, or an equivalent combination of education and experience.
  • Working knowledge of National Safety Code (NSC) regulations and compliance requirements.
  • Familiarity with Light Truck, Medium Truck, and Heavy Truck classifications and specifications is preferred.
  • Strong understanding of vehicle administration, asset tracking, and recordkeeping.
  • Understanding of insurance regulations and requirements across Canadian provinces.
  • Ability to stay current with industry trends, standards, and best practices in fleet management.
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) with strong data management and reporting skills.
