The Position: Fleet Coordinator

Type: Full-time

Reports To: Controller and Director, Administrative Services

Key Responsibilities:
 

  • Lead and support fleet initiative by overseeing annual equipment regulatory requirements and ensuring compliance, including insurance, registrations, and prorated vehicle licensing.
  • Develop expertise in company software (Fleetio, Geotab, Lytx, etc.), act as the Canadian subject matter expert, and support training as needed.
  • Administer the fuel card program for WCH, including the card sign-in/out process for specific divisions and relationships with fuel card program representatives
  • Support WCH equipment compliance by working closely with operational leadership and the corporate Fleet Department to source appropriate equipment
  • Ensure equipment meets all applicable federal and provincial regulatory requirements
  • Communicate with equipment users regarding compliance issues (inspections out of date, recalls, etc.)
  • Stay current on regulatory changes affecting equipment and update stakeholders
  • Oversee the equipment disposal process
  • Support organizational leadership by assisting equipment users with understanding equipment needs in the business.
  • Provide support, as requested, with repair quotes, warranty assessments, vendor management, and service bookings.
  • Conduct compliance-related research projects


Experience and Knowledge Expectations:
 

  • Commitment to perform responsibilities with the highest professional and ethical standards.
  • Minimum of 5 years of experience in a role directly related to equipment.
  • Minimum of 5 years in an administrative role.
  • Previous experience in a mechanical trade (heavy-duty or automotive) is preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, SharePoint).
  • Valid driver's license.
  • Excellent organizational and time management skills.
  • Critical thinking and problem-solving abilities.
  • Effective interpersonal and communication skills; able to work both independently and as a team.
  • Ability to quickly learn new responsibilities and adapt to change.
  • Able to manage stress and perform under pressure.
