About the role
We are seeking a highly skilled and strategic Fleet Administrator to oversee the management and optimization of our intact vehicle fleet.
The ideal candidate will be responsible for making medium-term strategic decisions, managing vendor relationships, overseeing budget allocations, developing policies, ensuring regulatory compliance, and implementing risk management strategies. This role requires a balance of operational and strategic responsibilities to ensure the efficiency and effectiveness of our fleet operations.
This hybrid position is available in our Calgary (321, 6 Avenue SW) or Edmonton (10830, Jasper Avenue) offices.
What you'll do here:
Strategic Planning:
- Develop medium-term fleet management strategies tailored to regional needs, including solutions for electrification challenges.
- Monitor and forecast future vehicle and equipment needs based on current and projected demands, such as cube trucks, courier vehicles, service center shuttles, and CAT Minivans.
Vendor Management:
- Select, approve and negotiate prices with certain suppliers and maintenance service providers (e.g., tires, detailing services).
- Manage relationships with leasing companies and ensure regional compliance with agreements.
Budget Management:
- Allocate and manage portions of the fleet budget within given constraints and regional requirements.
- Make driver assignement and disposal decisions regarding the acquisition and disposal of vehicles, considering factors such as transport mode, vendor choice, spare vehicle ratio, and alignment with regional needs.
Policy Development:
- Create, improve, update, and enforce fleet policies, including safety protocols and usage guidelines.
- Develop regional strategies to align with our company environmental goals within the fleet.
Fleet Optimization:
- Implement fleet optimization techniques to enhance efficiency and reduce costs.
- Utilize electronic tools and data analytics to monitor fleet performance and make data-driven decisions with medium to high impacts on departmental results.
Regulatory Compliance:
- Ensure the fleet complies with all local, provincial, and federal regulations.
- Manage and improve processes related to vehicle registration, insurance, adherence to safety standards, and taxable benefits.
Risk Management:
- Identify and mitigate risks in fleet operations, consistently working to improve processes to increase efficiency and customer service in future scenarios.
- Develop and implement risk management strategies, including accident prevention, claims processing improvements, and response plans.

- Strong problem-solving skills and ability to make data-driven decisions.
- Excellent communication and collaboration skills to interact with mid-level management, external vendors, and regulatory bodies.
- Proven experience in fleet management, with a strong understanding of strategic planning and operational execution.
- Excellent negotiation skills and experience in vendor management.
- Strong financial acumen and budget management capabilities.
- Proficiency in policy development and enforcement.
- Expertise in fleet optimization techniques and the use of data analytics.
- Thorough knowledge of regulatory compliance requirements.
