Position Overview:
We are seeking a detail-oriented and proactive Commercial Fleet Coordinator to manage and oversee the operations of our commercial vehicle fleet. The successful candidate will play a crucial role in ensuring the safe, efficient, and cost effective management of all fleet activities from maintenance and scheduling to compliance and reporting. The Fleet Coordinator will work closely with management, drivers, internal teams and service providers to ensure that fleet operations run smoothly and meet company standards.
Key Responsibilities:
- Fleet Management: Coordinate the day to day operations of the commercial fleet, including vehicle scheduling, route planning, and dispatch coordination.
- Maintenance and repairs: Oversee regular maintenance schedules, monitor vehicle performance, and ensure timely repairs when and as required. Maintain relationships with service providers and manage repair budgets.
- Compliance and Documentation: Ensure all vehicles comply with local, provincial, and federal regulations, including licensing, registration, and insurance. Maintain up to date records for all fleet vehicles and equipment.
- Fleet Reporting: Track vehicle usage, incidents, maintenance costs, and other key performance indicators. Prepare regular reports for management on fleet performance and cost efficiency.
- Driver Coordination: Work closely with drivers to ensure they follow safety protocols, report vehicle issues, and maintain proper daily logs. Address any driver concerns and provide support as needed.
- Cost Control: Monitor and manage fleet operating costs including maintenance and repairs. Identify areas for cost savings and recommend improvements.
- Inventory Management: Ensure that the fleet has the necessary tools and supplies for smooth operations, such as fuel cards, working phones, safety equipment, and PPE.
Qualifications:
- Education: High school diploma or equivalent (Diploma or Certification in Logistics or related field preferred)
- Experience: 2+ years of experience in fleet coordination, logistics, or a related field. Experience with commercial vehicles, fleet software, and scheduling systems is a plus
- Skills: Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Knowledge of vehicle maintenance, regulations, and fleet management best practices.
- Proficient in Microsoft Office (Excel, Word, etc.), fleet management software, E-log systems, and GPS tools.
- Ability to analyze data and generate reports
Certifications:
- Valid drivers license required
- Fleet coordination or logistics certifications a plus.
Physical Requirements:
- Willingness to work in warehouse environments when necessary, with mandatory PPE.
