REPORTS TO: Manager, Capital Projects, and Fleet
DEPARTMENT: Passenger Services

ACCOUNTABILITY STATEMENT:
The Fleet Support Specialist will provide technical expertise, knowledge, support, and liaise between customers, corporate services and Ontario Northland's operating divisions, and various business partners. This position will assist with coordinating the purchase of all new non-revenue fleet vehicles and make recommendations on remarketing or disposing of fleet.

MAJOR DUTIES/ RESPONSIBILITIES:

  • Maintain and assist in developing vehicle specifications for all applications (light duty, medium-duty, heavy-duty, hi-rails)
  • Consult with operators, managers and vendors to determine the needs of required equipment or vehicles
  • Register all fleet vehicles with EAM and maintain a master list of all fleet vehicles except motor coaches
  • Review fuel consumption/velocity reports and provide recommendations
  • Recommend vehicle fleet cycling & vehicle transfers to Manager and coordinate logistics of reassignments with end-users
  • Ensure all vehicles are licensed and insured and coordinate the distribution of the proper insurance slips and fuel/maintenance cards
  • Assist with claims of drivers who experience collisions or vehicle damage
  • Manage corporate pool vehicle program
  • Assist with state of good repair analysis tied to EAM program
  • Negotiate contracts and agreements with vendors
  • Manage vendor performance of fleet service providers
  • Assist with coordinating and scheduling of service appointments to address vehicle recalls
  • Review maintenance costs versus replacement options and request purchase of new or required vehicles
  • Make recommendations on sale or remarketing of fleet vehicles
  • Inspect new vehicles to ensure specifications are met
  • Lead the commissioning and decommissioning process for all fleet vehicles
  • Assist in the preparation and evaluation of tenders for fleet acquisitions
  • Assist with the development of business cases for unplanned equipment and fleet vehicles
  • Consult with internal departments and prepare annual fleet requisition plan
  • Work closely with finance team to develop and manage budgets related to fleet operations
  • Assist with preparing and updating the 10-year capital vehicle replacement plan
  • Conduct regular audits to verify fleet compliance with established policies and recommend corrective actions when necessary
  • Analyze data to identify trends, areas for improvement, and opportunities to enhance fleet efficiency and cost-effectiveness
  • Evaluate and recommend fleet management technologies and systems to enhance policy enforcement, monitoring, and reporting capabilities
  • Develop and implement policies that support environmentally sustainable fleet practices, including alternative fuel options, emissions reduction strategies, and eco-friendly vehicle choices

REQUIREMENTS:

  • Diploma in Automotive Technology, Automotive Business, Transportation Logistics or Supply Chain Management Program
  • 3-5 years managing a fleet program
  • Supply Chain or Asset Management experience (business logistics, project management, procurement, planning, coordinating)
  • Excellent communication and interpersonal skills to liaise with operating divisions and business partners
  • Research, analytical and reasoning skills to assess and prepare a variety of reports
  • Knowledge of provincial legislation (e.g. licensing, insurance requirements, vehicle sales and ownership transfers) and best practices
  • Negotiation skills to work with clients, third parties and business partners
  • Work independently and in a team environment
  • Competent computer skills (MS Word, Excel, AS400, Infinium, Fleet Complete, ARI, Geotab)
  • Valid driver's license
  • Must be committed to company health and safety
