Purchasing Administrator

Position Overview: Epiroc invites applications for the position of Fleet and Coding Coordinator to join our team in Canada. This pivotal role requires a meticulous and organized professional to oversee fleet management and coding processes. This position reports into the Indirect Procurement Manager.

Key Responsibilities:
 

  1. Fleet Management:
    • Oversee the comprehensive management of the vehicle fleet across all Epiroc facilities in Canada.
    • Efficiently coordinate the ordering and follow-up of new vehicles.
    • Act as a liaison between Drivers and suppliers, fostering and maintaining excellent relationships.
    • Ensure the accuracy and consistency of fleet database records.
    • Supervise end-of-lease processes and resale.
    • Establish and monitor Key Performance Indicators for Fleet Management.
    • Work on cost initiatives to help better the business.
    • Implement and uphold preventative maintenance programs with specified schedules.
    • Manage administration requirements, including the meticulous mailing of information to drivers.
    • Oversee fleet inventory, ensuring data integrity, availability, and optimal utilization.
    • Provide training and assistance to key stakeholders.
  2. Coding Administration and Coordination
    • Design, develop, and implement new reports to uphold data integrity and accuracy.
    • Provide training and assistance to key stakeholders in coding processes.
    • Serve as the liaison and owner of several measurable reports between Procure-to-Pay (PTP) and Mississauga customer center (MCA).
    • Code invoices accurately, ensuring alignment between purchase orders and vendor invoices for direct and Indirect vendors.
    • Manage internal KPI's to provide service to help MCA stay within internal targets and compliance.
    • Create Journal Vouchers when applicable.
    • Contribute to Vendor Database
    • Other projects as required


Qualifications:
 

  • Possess post-secondary education, preferably in a relevant discipline.
  • Demonstrate a proactive versus reactive mindset.
  • Exhibit strong attention to detail, coupled with numeric and analytical skills.
  • Proficient in Microsoft Office Suite, with a focus on Excel, Word, and Outlook.
  • Showcase excellent verbal and written communication skills.
  • Display a proven ability to collaborate effectively with diverse departments and external stakeholders.
  • Possesses a positive attitude and effective interpersonal skills.
